Position Summary
Reporting to the Associate Director, Advancement, the Donor Relations Coordinator plays a significant role within the team, by performing a wide range of duties to develop, facilitate and implement fundraising strategies across the department. This includes a wide range of relationship building responsibilities including but not limited to fundraising and stewardship strategies, data gift processing, prospect research and prospect management. The Donor Relations Coordinator plays a key role in supporting all ends of the donor cultivation cycle, while working closely with the entire team to support strategic fundraising and stewardship initiatives, data requirements, analytics and research for campaigns, appeals, day-to-day donor actions, and special events.
Duties & Responsibilities
Donor Fundraising and Stewardship
  • Plans and executes fundraising appeals including managing project timelines, identifying target audiences and create measurements to evaluate the effectiveness of appeals, fundraising outcomes, messaging and tools.
  • Participates in annual goal setting for the development team, developing and implementing fundraising and stewardship deliverables.
  • Leads the coordination and maintenance of the Foundation’s stewardship matrix and recognition style guides.
  • Provides high-quality donor stewardship through timely appreciation calls, cultivation activities and follow ups.
  • Builds relationships with internal stakeholders to help connect and further deepen the relationships with donors.
  • Collaborates with the Development team to ensure that all stewardship initiatives, including recognition events and impact reports are delivered in a timely and appropriate manner.

Prospect Research
  • Conducts prospect research from primary and secondary sources on identified prospects.
  • Data mines, designs and develops reports to assist Foundation staff.
  • Updates, collates and manages individual prospect research records.
  • Prepares specialized data mining queries; troubleshoots account coding, linking constituent codes and Fund IDs.
  • Identifies linkages between new and existing donors, including flagging and resolving duplicates.
  • Performs daily/weekly monitoring of news alerts and publications as part of prospect research duties.

Event Planning
  • Leads the planning and execution of donor recognition events and stewardship activities with support of the Advancement Team.
  • Maintains event planning notes for task teams.
  • Develops and arranges all event logistics required to support and host events and activities.
  • Develops print and electronic event materials, speaking notes and briefing documents as required.

Gift Processing and Administration
  • Serves as the primary contact for all donor gift inquiries.
  • Performs accurate entry and timely processing of all donation data, including cash gifts, pledges, cheques and credit cards, EFT transactions.
  • Prepares donor receipts and acknowledgement letters for all donation gift types.
  • Accurately tracks campaigns, funds, appeals, and packages on gifts and routinely generating reports.
  • Consults with the Financial Analyst to confirm revenue reconciliations between software systems.
  • Reviews and edits gift records periodically for discrepancies; answers questions related to gift entry.

Information Systems Maintenance (Blackbaud NXT)
  • Designs and generates weekly, monthly, and/or quarterly reports for financial status, prospect
  • management, donor communications and stewardship activities, and creates ad hoc reports and donor and alumni listings as required.
  • Conducts routine data updates, as required to maintain the integrity of the Blackbaud NXT database.
  • Accountable for data integrity and entry that tracks biographical and public information on corporate and individual donors and donations.
  • Creates Blackbaud NXT reports and produces spreadsheets that enable department team members to track individual prospect moves management, proposals, and donations (cash and in kind).
  • Develops, and ensures compliance with rules and guidelines that adhere to privacy legislation such as the BC Protection of Privacy Act that protects the confidentiality of donors.
  • Performs other related duties as required.
Qualifications
Education and Experience
  • A two-year diploma in marketing, fundraising or business systems from a recognized post secondary institution.
  • Two to 4 years’ experience in fundraising, prospect research, database setup and management, and special events.
  • MS Office with Word, Excel and PowerPoint at the intermediate level Experience.
  • Proficiency in the use of Blackbaud’s Raiser’s Edge NXT; including reporting, queries, and data analysis.
  • Or equivalent combination of education, training and experience.

Skills and Abilities
  • Strong problem-solving skills and ability to learn new skills and find solutions to complex issues with data and/or technology.
  • Demonstrated ability to effectively build positive relationships with donors, volunteers, prospects, staff and faculty, while maintaining confidentiality.
  • Proven proficiency in systems/process documentation, and the organization and maintenance of data.
  • Strong organizational skills with demonstrated ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Demonstrated ability to be adaptable, flexible, and handle changing circumstances with ease. Proven effective interpersonal and teamwork skills and ability to act with tact and diplomacy. Strong verbal and written communication skills.
Salary Range - Prorated based on FTE
Paygrade 24 – $2012.87 – $2360.44 biweekly
